Role & Responsibilities
- Compile client attendance lists from sales teams and contact invitees to secure event participation
- Coordinate creation and distribution of save-the-date announcements and formal paper invitations while maintaining updated guest lists
- Update CRM with attendance confirmations and event participation metrics
- Provide event details to security and coordinate VIP transportation logistics including limousine reservations and parking allocation
- Arrange hotel and restaurant accommodations for attendees
- Liaise with catering suppliers on budget, menu selection, service timing, and staffing coordination
- Oversee floral arrangements and seasonal decorations including holiday installations in consultation with florists
- Track vendor deliveries for seasonal installations and furnishings
- Reserve dining facilities and manage catering equipment procurement (tables, chairs, linens, tableware)
- Engage and coordinate photography services for event documentation
- Prepare and assemble VIP client gift packages
- Support event presentation preparation and ensure compliance with established guidelines
Qualifications
- Bachelor's degree in Hospitality Management, Public Relations, or specialized communication certification
- 2 to 5 years of professional experience in events management or event coordination
- Strong affinity for the luxury sector and demonstrated understanding of luxury brand positioning
- Comprehensive knowledge of Patek Philippe brand heritage, technical specifications, and product portfolio
- Proficiency in French and English; additional languages advantageous
- Excellent written and verbal communication skills
- Mastery of CRM software, event registration platforms, and email marketing tools
