OTB Group is seeking a Payroll and Personnel Administration Specialist for its Milan office to oversee personnel administration, payroll, time management, compliance and employee support. The role is governed by the Textile Industry National Collective Labour Agreement (CCNL Tessile Industria), levels 5–6, with an annual gross salary range of €30,000–€40,000 and a variable Company Bonus; final seniority placement depends on experience and skills.
Role & Responsibilities
- Ensure compliance with internal operating procedures for establishing, managing and terminating employment relationships and paying salaries, including directly managing and coordinating ticketing, data transfer and data validation activities.
- Oversee the correct implementation and updating of attendance and company workflow management systems in line with legal and contractual requirements and company and Group regulations.
- Manage attendance tracking, close attendance records and extract data required for payroll.
- Support employees in managing and resolving employment administration matters through a dedicated ticketing system.
- Operationally manage HR administration activities and obligations, including supplementary pension funds, supplementary healthcare funds, financing, salary assignments, wage garnishments, fringe benefits, trade union matters, contribution and regulatory relief, gross-to-net and employment-cost simulations, monitoring sickness and accident periods, notice calculations, and workplace and occupational disease reports.
- Supervise and operationally coordinate the payroll service managed by the external provider.
- Review payslips, monthly reports and annual declarations, including CU, 770 and INAIL self-assessment.
- Support HR administration colleagues on payroll and personnel administration matters.
- Manage relationships with social security, insurance and welfare institutions and tax authorities.
- Oversee the preparation and submission of periodic and annual reports to institutions, including ISTAT questionnaires, the biennial gender equality report and the disability information statement.
- Coordinate and manage HR administration, payroll and time-management obligations related to extraordinary corporate transactions, social safety nets, union agreements and company policies.
- Manage obligations and activities concerning expatriate and seconded employees in coordination with tax advisers, and manage global employee-benefit policies and coverage in collaboration with the insurance broker.
- Operationally coordinate and manage obligations requested by auditors and third-party institutions, and oversee process updates and alignment.
- Operationally coordinate and manage the implementation and launch of new services, processes, obligations and activities agreed with the Area Manager.
Qualifications
- At least 5 years of experience in the role, preferably in multinational companies or large consulting firms, with established expertise in HR administration and payroll and familiarity with advanced HR systems and ERP.
- Knowledge of Zucchetti attendance and payroll applications and the SuccessFactors management system is preferred.
- Good written and spoken English.
- Excellent knowledge of the Office package.
- Strong analytical and organizational skills, precision, accuracy, teamwork, a sense of responsibility and discretion, and a problem-solving orientation.
