OTB Group — Payroll & HRIS Manager in New York: lead U.S. payroll and HRIS for a multi-brand luxury retail group (Diesel, Maison Margiela, Marni).

Role & Responsibilities

  • Lead end-to-end biweekly payroll preparation, processing and audit for U.S. multi-state, Canada, and provide audit support for Mexico across retail and corporate populations.
  • Oversee payroll inputs including timecards, overtime, PTO, holiday pay, commissions, retro pay, and lifecycle transactions (new hires, terminations, pay changes, bonuses, deductions).
  • Own HRIS and payroll system integrity and optimization (e.g., SAP SuccessFactors, ADP WFN, ADP Canada), ensuring seamless integrations, accurate data and robust governance.
  • Manage compliance with federal, state/provincial, and local wage-and-hour laws, including state-specific final pay requirements and payroll tax processes (W-2, 1099, T4 and Mexico equivalents).
  • Lead payroll audits, variance analysis, reconciliations and monthly data reporting; prepare documentation to support internal and external audits.
  • Serve as escalation point for complex payroll and HRIS inquiries, delivering high-service, solution-oriented resolution and employee education on payroll processes.
  • Partner cross-functionally with HR, Finance, Store Operations and Total Rewards on compensation programs, commission impacts, reporting, accruals and budgeting inputs.
  • Develop and maintain SOPs, controls, process documentation and training materials for payroll and HRIS workflows.
  • Identify and lead system- and process-improvement initiatives, including implementations, upgrades, automation and reporting enhancements.
  • Coach and mentor HR team members, setting standards for accuracy, timeliness and service delivery.

Qualifications

  • Minimum 5 years of progressive payroll experience, including multi-state U.S. payroll; Canada experience strongly preferred.
  • Experience in retail, luxury retail, or high-volume hourly environments with commission structures.
  • Thorough knowledge of wage & hour laws, FLSA, payroll taxes and compensation program mechanics.
  • Hands-on experience with HRIS/payroll platforms such as ADP WFN, SAP SuccessFactors, Workday or UKG.
  • Advanced Excel proficiency (pivot tables, lookups, data validation, reconciliations).
  • Proven ability to manage data integrity, systems administration and process improvements in a complex, multi-jurisdictional environment.
  • Strong financial acumen, analytical rigor and problem-solving capability.
  • Excellent communication, stakeholder influence and cross-functional collaboration skills.
  • Exceptional project management and organizational skills; ability to manage multiple priorities in a fast-paced environment.
  • CPP or FPC certification preferred.
  • Must be legally authorized to work in the United States; role is not eligible for sponsorship.

Experience
