Role & Responsibilities

  • Provide comprehensive administrative support to the General Manager and New Zealand team, including meeting coordination, team activities, and office operations management
  • Act as primary liaison for the Auckland office, managing supplier relationships, visitor coordination, building services, office supplies, mail and courier operations
  • Support IT and HR administration functions, overseeing employee onboarding, company asset management, and processing employee requests
  • Coordinate travel logistics and itineraries for team members, guests, and winery visits
  • Manage office inventory, staff milestone gifting, supplier invoicing, and vendor setup processes
  • Deliver high-quality artwork and promotional materials for customers within agreed timelines and budgets
  • Process stock orders, free-of-charge requests, and stock transfers with accurate tracking and reporting
  • Prepare sales presentations, trade offers, and reporting to support commercial decision-making activities
  • Coordinate winemaker visits and maintain Salesforce systems including account activation processes
  • Support execution of Moët Hennessy brand programs, trade activations, and key customer initiatives in partnership with the Channel Activation Manager
  • Manage VAP orders, trade assets, and agency coordination to ensure seamless activation delivery
  • Administer A&P budget functions, including purchase order processing, invoice management, and spend tracking
  • Drive engagement with the Everyday Fundamentals (EDF) program, capturing results, measuring ROI, and identifying improvement opportunities
  • Maintain and update marketing asset libraries and brand collateral systems
  • Manage POSM ordering, distribution, and inventory to support customer opportunities and business priorities
  • Coordinate maintenance, logistics, and tracking of POSM assets while ensuring cost-effective stock management
  • Maintain strong relationships with logistics partners and keep POSM catalogues current and accessible
  • Champion the E-Retail agenda, supporting market plan delivery aligned with regional KPIs
  • Partner with key stakeholders to improve online visibility, display compliance, and digital execution
  • Track and report E-Retail activity, sharing performance insights and best practice recommendations

Qualifications

  • Tertiary qualification in Business or Marketing (advantageous)
  • Proficiency in Microsoft Suite, SAP, and Concur systems (advantageous)
  • Demonstrated experience in Desktop Publishing with solid understanding of printing processes and terminology
  • Excellent time management skills with proven ability to prioritize effectively
  • Superior communication and interpersonal capabilities for building stakeholder relationships
