Events Manager at Joseph Phelps Vineyards in Saint Helena, California — luxury wine event planning and coordination role.

Role & Responsibilities

  • Lead end-to-end planning, communication, and execution of Phelps Preferred wine club events, internal HR celebrations, and signature winery experiences such as Insignia Release Weekend and Rooted in Tomorrow Dinners
  • Serve as principal point of contact for guests and internal stakeholders, delivering high-touch service from initial inquiry through post-event reporting, with meticulous documentation of every detail using approved tracking systems
  • Translate event briefs into comprehensive operational plans, production schedules, and timelines; establish and maintain event guidelines, playbooks, and visual lookbooks in partnership with Marketing
  • Direct all practical and operational aspects of event delivery, including venue configuration, catering coordination, audio-visual production, décor, signage, staffing deployment, guest flow management, and real-time troubleshooting
  • Partner with Hospitality Manager, Chef, and Inventory Manager to curate appropriate wine selections and menus aligned with event objectives and budget parameters; coordinate wine transportation, temperature management, and service execution
  • Source, negotiate, and manage third-party vendors including caterers, florists, rental companies, entertainment providers, and AV specialists; cultivate and maintain vendor relationships to ensure consistent delivery to scope, schedule, and quality standards
  • Oversee budget management, expense tracking, and financial reconciliation for all paid events; determine event fees, create detailed budgets, coordinate client billing, code all receipts and invoices, and compile post-event financial reports
  • Collaborate weekly with Hospitality and Housekeeping managers to review upcoming events, align staffing requirements, and address operational support needs; coordinate across Culinary, Marketing, Inventory, and HR departments
  • Manage the organization's collection of event marketing and internal visual assets; host large group tastings during slower periods to support incremental event channel revenue
  • Hire, schedule, and direct temporary event support staff including wait staff, entertainers, and housekeeping personnel; ensure all on-site personnel adhere to JPV standards and safety protocols

Qualifications

  • Minimum 3 years of event management experience in hospitality, luxury hospitality, wine tourism, or corporate events
  • Demonstrated expertise in coordinating multi-stakeholder events with complex operational requirements
  • Proven ability to manage event budgets and vendor relationships with meticulous attention to financial accuracy
  • Strong knowledge of wine service protocols and understanding of luxury brand positioning
  • Exceptional communication and interpersonal skills with capacity to work effectively across internal teams and external partners

Experience
