Moët Hennessy seeks a Back Office Administrator in Epernay to manage procurement, HR, and financial operations across luxury Champagne brands.
Role & Responsibilities
- Process and track purchase orders covering direct costs, operating expenses, advertising and promotion, and capital expenditures
- Manage supplier administration including account creation, referencing, and payment processing
- Handle e-cards/p-cards, advance payments, and accrual provisions for operational expenses
- Monitor and analyze purchase data and budgetary compliance
- Track, control, and allocate market expense costs to subsidiary and OTP agent budgets
- Validate and analyze vendor reporting and invoicing with analysis and correction
- Refactor subsidiary invoicing and manage associated claims
- Manage timekeeping for back office, operational teams, and temporary staff
- Liaise with temporary staffing agencies regarding contracts, hours, and invoice verification
- Ensure compliance with HR rules and processes
- Issue invoices, monitor arrears, and reconcile bank accounts
- Process reimbursements and corrections including debit and credit notes
- Coordinate with accounting to ensure data consistency
- Provide administrative support to leadership and cross-functional teams
- Document and improve operational procedures and processes
- Prepare monthly budgets analyses, cost reporting, and dashboards
- Administer shared tools and coordinate with finance and HR departments
Qualifications
- Bachelor's degree (Bac+2/3) in Accounting or Equivalent Business Administration discipline
- 3–5 years of experience in an equivalent administrative or finance operations role
- Intermediate English proficiency; fluent French required
- Demonstrable rigor and organizational capability
- Analytical mindset with strong problem-solving orientation
- Excellent written and verbal communication skills
- Proficiency across multiple software platforms and digital tools
- Strong adaptability and ability to work collaboratively in team environments
- Self-directed with capability to prioritize competing tasks and meet deadlines

Minimum 3 years of professional experience in an equivalent administrative or finance operations role within a complex organizational structure.
Education
Bachelor's degree (Bac+2/3) in Accounting, Finance, Business Administration, or an equivalent qualification.
