Role & Responsibilities
- Manage complete event lifecycle from initial client requirements through post-event closure, including timing, service flow, setups, and materials planning
- Collect and translate client needs into operational specifications and prepare Service Orders (ODS) with accurate information distributed to all relevant teams
- Monitor preparatory activities and flag potential issues and risks proactively
- Oversee assigned events during execution, verifying correct service delivery and managing contingencies or unexpected requirements
- Maintain operational relationships with internal and external clients throughout all event phases and facilitate communication between clients, catering team, internal functions, and suppliers
- Support relationship development with third-party clients and identify new business opportunities
- Verify events are executed according to specifications and Prada Group service standards; support staff briefings and training materials development
- Contribute to dissemination of service and hospitality best practices across the team
- Provide operational support during events as required
- Organize and archive event documentation; prepare post-event documentation for billing and reporting
- Coordinate event photography and digital archiving; contribute to event catalogue creation and updates
- Collect data, feedback, and insights for event evaluation and continuous service improvement
- Support the F&B Catering Manager on function-wide projects and initiatives
- Monitor activity timelines, deadlines, and critical milestones for assigned events
- Collaborate with internal teams and suppliers to ensure correct advancement of activities and process improvements
Qualifications
- 3–5 years of experience in event organization and management, catering, banqueting, or hospitality
- Strong knowledge of event operations and dynamics
- Excellent organizational, interpersonal, and problem-solving abilities
- Proficiency in managing multiple concurrent tasks, priorities, and deadlines
- Keen attention to detail and demonstrated commitment to service quality and customer experience
- Fluent English and proficiency with Microsoft Office Suite
- Flexibility and availability to work according to event calendar requirements
- Experience in luxury, premium, or fine dining contexts is a strong asset
