Role & Responsibilities

• Prepare shipment delivery instructions and coordinate with forwarders on inbound and outbound shipments
• Verify and process CITES certificates and customs documentation for Hong Kong, Macau, and mainland China imports/exports
• Prepare inbound shipment pre-alert communications to stores, departments, and warehouses
• Check stock transfer invoices, packing lists, and relevant licenses from other markets; provide shipping instructions and approvals
• Verify damaged inbound shipments and coordinate with forwarders for surveyor inspection or cargo claim release
• Report shipment discrepancies to headquarters and track missing shipment alerts through helpdesk ticketing
• Arrange and manage marine cargo insurance claims for damaged merchandise or escalate to headquarters for claim processing
• Maintain organized filing of CITES certificates and customs documentation in both physical and digital formats
• Coordinate import declarations with forwarders, brokers, and couriers in Hong Kong and Macau; provide necessary AWBs and invoiced values
• File all shipment documentation in shared systems for import/export declarations
• Verify warehouse packing lists and ensure merchandise transfer in system from warehouse main to export
• Prepare inter-company and proforma invoices, packing lists, and relevant re-export licenses to destination markets
• Prepare export shipment bookings with forwarders, FedEx, and DHL Express
• Distribute shipment pre-advice communications to Supply Chain, Merchandise, Retail, Visual Merchandising, and After-Sales departments with flight details
• Prepare Hong Kong re-export CITES applications and non-CITES declaration forms or attestation letters
• Monitor new import regulations for seasonal products and new materials
• Respond to regulatory inquiries from the Agriculture, Fisheries and Customs Department (AFCD) regarding CITES species
• Address logistics inquiries from internal departments and overseas markets
• Verify logistics-related billings and approve payments in the Esker system
• Support Greater China and headquarters on after-sales repair processes, defective management, and sustainability initiatives
• Provide documentation support for internal and external audit activities
• Support special projects initiated by Hong Kong, Greater China, and headquarters offices

Qualifications

• Minimum 2–3 years of professional experience in import/export and local distribution for retail or fashion businesses
• Demonstrated knowledge of customs requirements and regulations
• Specific familiarity with Hong Kong and Macau customs procedures preferred
• Excellent written and verbal communication skills in English
• Strong proficiency with Microsoft Office applications, particularly Excel
• Demonstrated ability to work effectively with third-party logistics providers and customs agencies
• Detail-oriented approach with strong organizational and time-management skills
• Sense of urgency and ability to manage multiple concurrent shipments and deadlines

Skills

Experience

2–3 years of professional experience in import/export operations, customs compliance, and local distribution within the retail or fashion sectors. Demonstrated track record coordinating cross-border shipments, managing customs documentation, and liaising with logistics service providers and government agencies.

Education

Secondary education minimum; Bachelor's degree in Supply Chain Management, Logistics, International Business, or related discipline preferred.
