Role & Responsibilities

  • Manage the company fleet (approximately 115 vehicles): process new car requests, obtain quotations, negotiate with vendors, coordinate deliveries, ensure insurance and documentation and oversee maintenance, incidents and fines administration.
  • Administer fuel cards and manage traffic fine processes; coordinate incident response for accidents and vehicle-related claims.
  • Operate and support corporate travel and taxi booking applications: user administration, blocked account management, data updates and user support (access/password issues).
  • Manage corporate card lifecycle: requests, follow-up, delivery and user support for registration and travel allowance processing; handle travel-related incidents (stolen luggage, VISA fraud) and liaise with Compliance and Finance.
  • Maintain the internal Configuration Management Database for asset allocation and de-allocation (cards, cars, travel tools, expense reports) and oversee physical document inventory, storage and destruction with external partners.
  • Provide executive support to members of the Executive Committee, including agenda management, stakeholder coordination and acting as a central point of contact across functions.

Qualifications

  • Minimum three years’ experience in office management, executive assistance or corporate services, with demonstrable support to senior leadership/C-level stakeholders.
  • Advanced proficiency in Microsoft Office (Excel and Outlook) and experience with SAP or equivalent ERP systems.
  • Strong digital literacy with experience using web-based travel, fleet and expense tools; ability to learn new systems rapidly. Familiarity with AI tools (e.g., Copilot) is a plus.
  • High level of discretion and confidentiality when handling sensitive information.
  • Fluent Spanish and English (mandatory); Portuguese or French is advantageous.
  • Driving license (category B) desirable.

Experience

Education

Bachelor’s degree in Business Administration, Hospitality Management, Logistics or a related discipline preferred; equivalent professional experience will be considered.
