Role & Responsibilities

  • Conduct daily store reconciliations across Xstore and Harrods tills, accounting for all discrepancies and liaising with Finance on deposits, AML compliance, and outstanding issues
  • Review and approve all staff store purchases to ensure strict adherence to internal policies
  • Manage travel and expense administration including flights, Eurostar rail, and hotel bookings
  • Plan and oversee staff entertainment budgets, ensuring controlled spend tracking and compliance with company guidelines
  • Coordinate stationery orders, hosting supplies, uniforms, dry cleaning, and alterations to maintain operational readiness
  • Create and manage multi-departmental store rotas aligned with anticipated traffic flows, shift patterns, commercial priorities, events, and staff availability
  • Review and approve all holiday and time-off requests against the annual schedule to ensure policy compliance and maintain business continuity
  • Develop and maintain key planning tools including the Penthouse calendar (Harrods partnership), daily planners, training trackers, opening hours records, and Director diary coordination
  • Prepare and submit accurate monthly timesheets for HR and payroll processing
  • Manage onboarding and offboarding administration for all store employees
  • Maintain and analyse lateness and absenteeism records, presenting insights at monthly People meetings
  • Participate in daily store briefings and contribute actively to achieving overall store objectives

Qualifications

  • Minimum 3 years of relevant store administration or retail operations experience
  • Proficiency in retail management systems and point-of-sale platforms
  • Strong financial acumen with demonstrable experience in reconciliation and budgeting
  • Excellent organizational and time management abilities
  • Advanced proficiency in Microsoft Office and spreadsheet applications
  • Knowledge of UK employment law and payroll processes
