HR Administrative Assistant at Louis Vuitton, Roissy Charles de Gaulle — full-time role supporting payroll, scheduling, and personnel administration.
Role & Responsibilities
- Develop and maintain sales team schedules using Planexa software, accounting for staff polyvalence and store operational requirements
- Manage schedule updates in response to absences and evolving business demands
- Coordinate onboarding cycles and integration pair schedules for new team members
- Plan learning and training sessions in collaboration with the Learning team for Louis Vuitton and Groupe Level curricula
- Monitor and update workforce capacity plans and projections
- Serve as primary point of contact for employee scheduling inquiries and concerns
- Process and track medical leave, workplace incidents, and medical visits
- Manage annual leave campaigns and approve paid time-off requests
- Handle special leave requests including parental, maternity, and family event leave
- Support deployment of the TIMESQUARE/SKIPLY project, including procedure documentation and staff training
- Execute onboarding administrative tasks: welcome coordination, work authorization tracking, uniform and equipment ordering
- Issue follow-up and warning letters for unjustified absences
- Monitor apprenticeship agreements and internship conventions
- Manage medical visit scheduling and administrative follow-up
- Provide reception support—both in-person and by telephone—for employee HR inquiries
- Process expense reports and manage supply ordering
Qualifications
- Minimum 3 years of HR administrative or personnel administration experience
- Advanced proficiency in Microsoft Excel and PowerPoint
- Expertise in HRIS (Human Resource Information Systems) platforms
- Fluent in French and English, both written and oral
- Demonstrated ability to manage multiple priorities simultaneously without compromising accuracy
- Strong organizational and process optimization skills
- Excellent interpersonal and active listening abilities
- High degree of discretion and ability to handle confidential information professionally
Skills
Experience
Minimum 3 years of professional experience in HR administration, personnel management, or a closely related administrative role within a retail or hospitality environment. Prior exposure to workforce scheduling systems and HRIS platforms is preferred.
Education
Secondary education or equivalent; tertiary qualification in HR, Business Administration, or a related discipline is advantageous.

The successful candidate will be located in Roissy, Île-de-France, France, with easy access to Paris.
