Role & Responsibilities
- Coordinate maintenance and minor works projects between retail stores, security providers, and external contractors across three regions
- Book security schedules in advance of planned maintenance activities and manage follow-through on project completion
- Review consumable invoices and service expenditures for accuracy and compliance with budget parameters
- Assist the F&M Manager in obtaining and evaluating contractor quotations and supporting procurement activities
- Create purchase orders for the UK, Ireland, and South Africa regions and track budget utilization against departmental cost plans
- Prepare monthly budget reports and contribute to monthly financial forecasting meetings with the Finance team
- Conduct regular site visits and facilities management walk-throughs with Operations and Store Managers
- Manage Power Automate flows for the store QR code system handling preventive maintenance, reactive, and specialist service requests
- Maintain and update compliance trackers, documentation folders, and store operation manuals to meet regulatory requirements
- Record and audit energy consumption data across all store locations and head office facilities on a monthly, quarterly, and annual basis
- Liaise with store management and external contractors to identify and resolve issues that may impact retail operations
Qualifications
- Previous administrative experience within a facilities management environment
- Excellent written and verbal communication skills
- Strong Microsoft Excel proficiency
- Ability to prioritize multiple competing tasks and work independently with minimal supervision
- Strong organizational skills and capacity to deliver against tight deadlines
- Demonstrated ability to establish and maintain professional working relationships with internal and external stakeholders
