Role & Responsibilities
- Provide day-to-day administrative support to corporate departments and executive leadership, acting as a primary point of contact for internal and external stakeholders.
- Manage and prioritize incoming communications, including email filtering, correspondence drafting and calendar coordination for executives and departmental teams.
- Coordinate domestic and international logistics: receive and ship parcels, assemble foreign-trade files, create shipping guidelines, and manage packaging and inventory replenishments.
- Oversee office operations including procurement of pantry and stationery supplies, building and parking access, and general office administration.
- Manage departmental POS activities and process invoices, vendor setup and head-office requests from the distribution center.
- Support travel arrangements: review itineraries and purchase flight tickets for internal and external travellers.
- Maintain accurate data entry, monthly reporting (including stores' working hours), and support database tasks for client identification and tracking strategies.
- Support PR and client-facing initiatives: receive editorial loans, coordinate send-outs, support showroom inventory and host coordination during live events.
- Assist with client programs and events logistics — including client gifting, nominations compilation and coordination of international experiences for VIP clients.
- Support human resources and employee engagement activities such as corporate employee events and birthday organisation.
Qualifications
- High school diploma or equivalent required; bachelor’s degree in business administration, communications or related field preferred.
- Strong organizational skills with the ability to manage competing priorities and confidential information.
- Excellent written and verbal communication skills; professional correspondence and stakeholder management experience.
- Detail-oriented approach to logistics, inventory control and invoicing processes.

Entry-level: 0–2 years of administrative or operational experience; prior exposure to corporate support, logistics or luxury retail/corporate environments is advantageous.
Education
High school diploma or equivalent required; bachelor’s degree in business administration, communications or related field preferred.
