Kering HR Executive in Petaling Jaya, Malaysia: 2-3 years experience in HR administration and shared services supporting luxury brands across Southeast Asia and Oceania.

Role & Responsibilities

  • Administrate employee lifecycle documents including contract preparation, certification letters, and resignation acceptance
  • Support employee onboarding processes and maintain e-Pfile personnel records for new hires
  • Administer work pass matters including application, renewal, and cancellation across Southeast Asia and Oceania
  • Manage employee queries through shared service channels (ServiceNow ticketing system) within agreed service level agreements
  • Develop and maintain HR documentation including processes, procedures, user guides, training manuals, and standard operating procedures (SOPs)
  • Participate in end-to-end HR process harmonization and improvement projects across multiple brands and geographies
  • Provide first-level support and troubleshooting for HR Information Systems (Workday) and Time & Attendance Systems (BIPO and Humaforce)
  • Collaborate with external vendors on HRIS technical issues and escalate requests as required
  • Perform validation and quality checks in Workday
  • Support HR analytics by preparing dashboards and data extracts
  • Assist in HR system enhancements and user acceptance testing (UAT) for new features
  • Receive, verify, and process HR-related invoices ensuring accuracy and timely payment
  • Maintain invoice trackers for audit and reporting purposes
  • Assist with vendor onboarding documentation and liaison on administrative matters
  • Provide administrative and coordination support for training programs, surveys, and project events
  • Support HR projects including digitisation, process automation, policy reviews, and change management initiatives

Qualifications

  • Diploma or Degree in Human Resources, Business Administration, or related field
  • 2–3 years of experience in HR administration, shared services, or HR operations
  • Familiarity with HRIS platforms, specifically Workday
  • Strong attention to detail and organisational skills
  • Customer-oriented with excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
  • Experience with data handling preferred
  • Ability to work independently and collaboratively within a team environment
