Role & Responsibilities
- Assist in the daily administration of facility operations and support the Facilities team with assigned tasks
- Provide receptionist and front desk coverage during breaks, leave, or as needed, including greeting visitors, answering phone calls, and handling general enquiries
- Coordinate maintenance, repair, cleaning, and other facility services with internal stakeholders and external vendors
- Resolve facilities-related issues across the organization by liaising between departments and service providers
- Schedule and follow up on maintenance, repairs, and vendor services to ensure timely completion
- Maintain office supplies inventory and coordinate replenishment as required
- Conduct routine inspections of office facilities and report maintenance or safety concerns
- Manage facility records, documentation, and asset inventories with accuracy and organization
- Assist with meeting room bookings and ensure common areas remain clean, functional, and well-maintained
- Support workplace health, safety, and housekeeping initiatives across all company locations
- Perform administrative duties including data entry, filing, document preparation, photocopying, and report compilation
- Undertake ad hoc projects and assignments as directed by the Facilities and Administration team
Qualifications
- Currently pursuing a Diploma or Bachelor's degree in Business Administration, Facilities Management, Property Management, Engineering, Social Sciences, or a related field
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)
- Strong communication and interpersonal skills with a customer service mindset
- Excellent organizational skills and attention to detail
- Ability to multitask, work independently, and collaborate effectively across teams
- Responsible, proactive approach with willingness to learn and develop professionally

Currently pursuing a Diploma or Bachelor's degree in Business Administration, Facilities Management, Property Management, Engineering, Social Sciences, or a related field.
