Kering Eyewear in Petaling Jaya is hiring a Receptionist and Administrative Assistant to support office, showroom and commercial operations.

Role & Responsibilities

  • Operate the front desk and provide professional reception services for visitors and internal stakeholders.
  • Manage office administration and facilities: stock stationery and pantry supplies, coordinate equipment repairs with Corporate Facilities, and liaise with external vendors for services (printers, water purifiers, Nespresso machines, pest control, plant maintenance).
  • Coordinate IT provisioning and maintenance for computers and mobile devices in collaboration with IT.
  • Support showroom and events logistics including sales buying days, sample handling, inventory tracking and event set-up.
  • Provide finance and accounting assistance: prepare and distribute Statements of Account (SOA), track Goods in Transit (GIT), arrange cheque deposits and coordinate courier pickups with accurate documentation.
  • Handle trade marketing and POP support by maintaining A&P files and assisting with basic POP allocation requests.
  • Support commercial and sales operations: process new account openings, authorised reseller agreements, Brand Ambassador sales reporting and maintain accurate customer master data.
  • Manage customer service tasks such as packing/delivery coordination and weekly processing of defective items and commercial returns.
  • Provide staff administrative support including travel arrangements and minor HR administrative tasks.
  • Identify and implement process improvements for office administrative workflows and perform ad‑hoc tasks as required.

Qualifications

  • Minimum 1 year of experience in administration, office management or customer service.
  • Proficient in Microsoft Excel, PowerPoint and Word.
  • Excellent interpersonal skills with the ability to liaise effectively across functions and external suppliers.
  • Demonstrated ability to multitask and perform under pressure while maintaining attention to detail.
  • Excellent written and verbal command of Bahasa Malaysia and English.

Experience

At least one year of practical experience in administrative, front-desk, office management or customer service roles, ideally within retail, wholesale or corporate support functions.

Education

Secondary education required; diploma or certificate in business administration, office management or a related field preferred.
