Jimmy Choo is seeking an experienced Executive Assistant for its London Head Office to support the Creative Director and wider Design team. The role oversees executive support, calendars, travel, budgets, studio operations, archive administration and special projects; it is full-time.
Role & Responsibilities
- Manage the Creative Director’s complex diary, representing her interests and agenda.
- Act as gatekeeper for internal and external enquiries addressed to the Creative Director.
- Manage the Creative Director’s inbox, highlighting emails requiring attention.
- Manage the Design and Business Calendars, plan ahead and ensure the Creative Director is fully prepared.
- Oversee the Design department budget, secure cost approvals and keep spending within budget; track travel costs and liaise with Finance when a budget reforecast is required.
- Arrange extensive travel, including detailed itineraries and specific requirements.
- Represent the Creative Director when she is absent or liaising with external contacts; attend meetings on her behalf when requested and follow up on relevant points.
- Prepare documents and materials for business and external meetings.
- Create seasonal inspiration presentations by collating and editing imagery and building presentations as directed by the Creative Director.
- Coordinate the Creative Director’s publicity appearances with the PR department, including stylist, hair and make-up arrangements.
- Research and organise Design Inspiration trips and related travel and accommodation logistics.
- Research, collate and edit a high-quality image library to support the creative process as directed by the Creative Director.
- Take meeting minutes as requested and directed by the Creative Director.
- Undertake personal work for the Creative Director as directed.
- Collaborate with relevant colleagues to create the Design calendar for the Creative Director, aligned with the needs of Design, Merchandising, Licensing, Consultants and Product Development.
- Work with relevant colleagues to interpret the Design, Merchandising and Press Calendars in Outlook, identify conflicts and send invitations to appropriate team members.
- Coordinate Design Team operational needs, including expense submissions, supply orders and sending packages when required.
- Approve team travel requests and track movements in Outlook.
- Administer leave requests, including approval forms, logging in Workday and tracking in Outlook.
- Approve invoices in the VIM system and obtain relevant team approvals when appropriate.
- Manage the Design Studio Archive, including collating the Creative Director’s seasonal archive selection, logging it in the Archive system and retrieving items as requested.
- Coordinate legal registration for each collection, acting as the key liaison between the Legal department and Designers.
- Assist with Design team special projects.
- Research topics as directed by the Creative Director, such as the Brand Book and one-off collaborations.
Qualifications
- Extensive experience in a similar role.
- Proven PA or EA experience in a pressured, entrepreneurial environment.
- Experience in the luxury fashion industry is desirable.
- Experience in a fast-paced studio or creative environment.
- Computer literacy and confident use of Microsoft Word, Excel and PowerPoint.
- Experience using Adobe Photoshop and InDesign.
- A creative eye.
- Strong attention to detail in a fast-paced environment.
- Interest in art, design, fashion and current affairs.
- Proactive, motivated and intuitive approach.
- Highly organised, with a 360-degree approach and a can-do attitude.
