Hermès İstanbul — Personal Assistant & Office Coordinator in Istanbul. Provide executive support to the Managing Director and manage office and showroom operations.

Role & Responsibilities

  • Provide high‑level personal assistance to the Managing Director including comprehensive diary and calendar management, meeting scheduling and stakeholder liaison.
  • Act as primary point of contact between the Managing Director and internal/external stakeholders; manage correspondence, emails and telephone communications on the MD’s behalf.
  • Prepare meeting agendas, presentations, reports and briefing materials; ensure the MD is briefed and meetings run efficiently.
  • Coordinate complex travel arrangements (flights, accommodation, visas, itineraries) for the MD, office and store teams; liaise with the appointed travel agency to resolve booking issues.
  • Assist with budget tracking, expense reporting and invoicing; coordinate with the finance team to ensure timely processing of payments.
  • Oversee office operations: manage supplies and inventory, maintain a welcoming and organised environment, handle reception duties and incoming deliveries.
  • Support organisation of company events, meetings and conferences (venue booking, catering, logistics) in close coordination with HR.
  • Manage showroom operations including tracking product movements, coordinating press visits, maintaining loan records and ensuring timely returns.
  • Support office engagement and internal activities to contribute to a positive workplace experience.

Qualifications

  • Minimum six years of relevant administrative or PA experience, preferably supporting senior executives.
  • Proven experience in diary management, travel coordination and expense administration.
  • Fluent written and spoken English and Turkish.
  • High level of discretion with confidential and sensitive information.
  • Excellent interpersonal skills with the ability to build relationships across all levels.

Experience
