Role & Responsibilities

  • Manage front-desk reception and site access: welcome internal staff and external visitors, verify entries, register and orient visitors, and accompany as required.
  • Operate the telephone switchboard: receive, screen and route calls professionally.
  • Administer site badging and access rights: create, configure and update badge permissions.
  • Coordinate visitor programmes and guided site visits, including scheduling, preparation of equipment and execution of 2‑hour visits.
  • Maintain site communication media: update notice boards and dynamic screens with accurate content.
  • Organise logistical needs: book taxis, meeting rooms, catering (breakfasts/lunches), rental vehicles and support event logistics for seminars and internal events.
  • Provide core administrative support: manage incoming/outgoing mail, postage and distribution; scan and forward supplier invoices and liaise with accounting for invoice follow-up.
  • Act as primary contact for general services (maintenance, cleaning) and support procurement of office supplies: place orders, monitor stock and receive deliveries.
  • Support HSE and security activities: process onboarding receptions for new hires, temporary workers and interns; order and distribute PPE and work clothing in coordination with HSE.
  • Support contractor and facilities coordination: receive external service providers (HSE, maintenance, architects) and assist maintenance pole with contract follow-ups and delivery reception.

Qualifications

  • Diploma equivalent to Bac +2 in Business Administration, Office Management or related field.
  • Minimum 3 years' experience in administrative and reception functions, ideally within an industrial or production site.
  • Strong command of office software and digital tools used for daily administrative tasks.
  • Excellent interpersonal skills with an impeccable reception posture and customer-service orientation.
  • High degree of organisation, reliability, discretion and ability to prioritise multiple concurrent requests.
