Guerlain HR Executive Assistant, Paris. Support Global HR Director with calendar management, travel coordination, and administrative operations in luxury perfumery.
Role & Responsibilities
- Manage complex, proactive agenda planning with strategic prioritization of competing demands
- Screen, prioritize, and process executive correspondence with accuracy and discretion
- Organize and coordinate executive travel including flights, accommodation, ground transportation, and visa arrangements
- Prepare travel logistics, meeting schedules, and accompanying documentation
- Monitor and adjust travel reservations within budget parameters to accommodate changes
- Organize and coordinate internal and external meetings, managing calendars and agendas
- Coordinate HR team events and initiatives that reinforce departmental cohesion and culture
- Audit and process expense reports with rigorous compliance and timely reimbursement
- Create purchase orders in SAP, manage vendor accounts, and oversee procurement documentation
- Track invoices in coordination with accounting services and manage departmental operating budget
- Execute internal orders for departmental supplies, furnishings, and services
- Support staffing and talent acquisition processes
- Manage administrative CCSE (employee/employer committee) functions
- Support onboarding of new hires and coordinate IT provisioning
- Contribute to cross-functional HR projects and initiatives
Qualifications
- Minimum 10 years of experience in a similar Executive Assistant role supporting C-suite or Board-level executives
- Demonstrated ability to manage sensitive and confidential information with integrity
- Proven capacity to handle multiple complex projects simultaneously and prioritize effectively
- Proactive anticipation of stakeholder needs with strong problem-solving and autonomous decision-making
- Meticulous attention to detail with rigorous execution standards
- Sophisticated written and verbal communication skills adapted to diverse audiences
