Gucci in Milan seeks a Personal Assistant (Maternity Cover) to manage travel, household logistics, visas and vendor coordination.

Role & Responsibilities

  • Arrange and manage all travel logistics in coordination with travel agencies and VIP service providers, including flights, ground transportation and accommodation.
  • Draft, review and administer riders and control applications related to travel and on‑site requirements.
  • Oversee visa procedures, health documentation and other travel‑related administrative formalities; monitor deadlines and renewals.
  • Collect, verify and process personal invoices; liaise with Accounting to ensure timely reconciliation and payment.
  • Source, coordinate and evaluate external vendors and service providers; ensure service quality meets defined standards.
  • Manage logistics for shipments and deliveries, including customs documentation and payment follow‑up.
  • Supervise storage and inventory activities: maintain inventories, coordinate inbound/outbound movements and provide regular updates.
  • Conduct targeted research to identify suitable locations, venues and specialist providers in line with stated requirements.
  • Schedule and coordinate personal and professional appointments, reservations and transportation to ensure seamless daily operations.

Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or in a comparable private‑client role.
  • Fluency in English and Italian, with excellent written and verbal communication skills.
  • Demonstrated ability to handle highly confidential information with discretion and professionalism.
  • Exceptional organisational aptitude with the capacity to prioritise competing demands and deliver under pressure.
  • Strong stakeholder management and vendor coordination capabilities; aptitude for quality control and follow‑up.
