Role & Responsibilities
- Ensure smooth and professional front desk operations and maintain a welcoming office environment.
- Support daily office administration including supplies, facilities, and vendor coordination.
- Provide responsive and accurate assistance to employees, executives, and visitors.
- Maintain compliance, accuracy, and confidentiality in office security management records and systems.
- Facilitate effective communication and coordination between departments and external partners.
- Greet and assist visitors, manage calls, and handle reception inquiries.
- Register visitor access, issue entry cards, and maintain access log.
- Coordinate guest parking registration and parking pass issuance.
- Manage meeting room reservations and ensure proper setup.
- Oversee mail, courier, and invoice handling.
- Maintain office supplies and pantry inventory.
- Process invoices and payments and manage office-related expenses.
- Handle employee ID card issuance, fingerprint registration, and deletion.
- Support new hire onboarding and manage office device lending.
- Update employee phone numbers and manage executive parking passes.
- Manage the president's meeting schedule, business cards, and logistics.
- Arrange CEO Korea visits, including transportation bookings.
- Manage regular procurement and inventory of office consumables and supplies.
- Coordinate uniform laundry, courier services, and supplier communications.
- Assist in facility contract management and regular maintenance activities.
- Maintain accurate access, purchase, and inventory logs.
- Share weekend and public holiday building records.
- Ensure data accuracy and adherence to internal procedures and reporting standards.
Qualifications
- Fluent in Korean with conversational English skills.
- Well-organized, detail-oriented, and proactive with a strong sense of responsibility.
- Customer-oriented, approachable, and professional in communication and service delivery.
- Strong interpersonal and teamwork skills with a positive and adaptable attitude.
- Excellent multitasking and time management skills in a fast-paced environment.
- Good problem-solving and prioritization abilities.
- Proficient in Microsoft Office (Excel, PowerPoint, Outlook) and general office tools.
- Basic understanding of office facilities, inventory, and vendor management preferred.
