Fresh is seeking a Regulatory Affairs Coordinator to support operational regulatory activities, global product registrations, packaging and claims reviews, cosmetovigilance and regulatory records across key markets. The role is full-time and permanent, based in Jersey City, New Jersey, with a hybrid working mode.

Role & Responsibilities

  • Prepare ingredient listings and registration documentation, including formulas, specifications and CFS.
  • Compile international registration documents and submit them for relevant markets, including the EU, UK, USA, Southeast Asia and China.
  • Complete registration notifications for new cosmetic formulas intended for the USA, Canada, EU and UK.
  • Maintain the PIF completion tracker and partner with key contacts to ensure all PIF documents are uploaded before product launch.
  • Conduct initial compliance reviews of packaging copy and flag issues.
  • Review artwork against regulatory checklists to ensure global regulatory compliance.
  • Track ingredient restriction updates and maintain portfolio status in the monitoring tool.
  • Support Customer Care by drafting responses to regulatory and product inquiries.
  • Coordinate cosmetovigilance activities, including case intake, tracking and follow-up.
  • Maintain templates, trackers, SOPs and checklists.
  • Escalate regulatory risks, gaps and urgent issues to the Regulatory Affairs Senior Manager in a timely manner.
  • In the first six months, develop a comprehensive understanding of Fresh’s internal regulatory processes, systems and documentation workflows; build working knowledge of its global product portfolio and requirements across key markets; meet cross-functional partners and learn collaboration processes; learn to manage and track global product registration timelines and documentation; and become proficient in artwork review.
  • Within 12 months, execute registration requirements across all markets within applicable timelines with minimal oversight and contribute proactive process-improvement recommendations to the Regulatory Affairs team.
  • Remain stationary for an average of 7.5 hours per day; light to moderate lifting may be required. Duties may regularly involve standing, sitting, reaching, stooping, kneeling and operating a computer, telephone and keyboard.

Qualifications

  • 0–2+ years of experience in Regulatory Affairs; cosmetics industry experience preferred.
  • Working knowledge of US, EU and Southeast Asian cosmetic regulations.
  • Exceptional organizational skills and attention to detail.
  • Familiarity with other relevant non-cosmetic regulations, including chemistry, packaging and environmental regulations.
  • Strong project management skills.
  • Strong written and verbal communication skills.
  • Ambition to learn and a curious mindset.
  • Passion for the beauty and skincare industry.
  • A “Sky’s the Limit” mentality.
  • Advanced skills in Microsoft Suite (Excel, Word, PowerPoint), Cognos and Adobe.
  • Bachelor’s degree in a scientific field.
  • French and/or Mandarin preferred, but not required.

Compensation

The base compensation for this position ranges from USD 70,000 to USD 90,000 per annum.
