Fresh (LVMH) seeks an Executive Assistant in New York, NY to support four C‑Suite executives. $70,000–$105,000 annually.
Role & Responsibilities
- Manage complex, evolving calendars for four C‑Suite and leadership executives using Microsoft Outlook, coordinating meetings across multiple time zones.
- Anticipate executive needs and operate proactively with a one‑step‑ahead mentality to prioritize tasks and resolve scheduling conflicts.
- Prepare executives for meetings by creating agendas, preparing conference rooms and managing audio/visual requirements.
- Coordinate detailed domestic and international travel itineraries including flights, visas, hotels and meeting schedules.
- Oversee document and records management for executives: prepare, review and maintain confidential files and briefing materials.
- Process departmental and personal expenses through Medius and Concur, ensuring timely invoice and credit card reconciliation.
- Serve as liaison between executives and internal/external stakeholders, handling confidential information with discretion.
- Support special projects and cross‑functional initiatives as assigned, including basic research and draft communications.
Qualifications
- Minimum 3 years' experience supporting C‑Suite or senior leadership (3–5 years preferred).
- Proven excellence in calendar and time management for multiple senior stakeholders.
- Exceptional written and verbal communication skills and professional interpersonal presence.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with expense systems (Medius, Concur) is strongly preferred.
- Demonstrated ability to handle confidential matters with impeccable discretion and judgment.
- Proactive problem‑solver with strong organizational skills; Bachelor's degree preferred.
