Role & Responsibilities
- Maintain sophisticated calendar operations for executive leadership, managing domestic and international travel schedules, senior management requests, and vendor meetings
- Coordinate meeting logistics across multiple time zones, including scheduling conference and video calls with internal and external stakeholders
- Arrange comprehensive travel arrangements including itineraries, agendas, visa documentation, and advance funding
- Process expense reports using Concur software and maintain detailed expense documentation
- Manage incoming communications including call screening, message relay, and comprehensive call logging
- Coordinate catering, event setup, and transportation for departmental functions, dinners, and business meetings
- Draft executive correspondence and prepare presentations using Microsoft Office suite applications
- Develop collaborative relationships with administrative staff across departments to facilitate seamless meeting planning and execution
- Maintain appointment calendars, event agendas, and RSVPs for executive functions
- Provide support for department-specific initiatives and strategic projects as assigned
Qualifications
- 2–3 years of professional experience in an administrative or executive support role
- Bachelor's degree from an accredited college or university
- Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
- Demonstrated excellence in organizational and multitasking capabilities
- Strong written and verbal communication skills
- Ability to thrive in a fast-paced environment and manage competing priorities under pressure
