Role & Responsibilities

  • Answer and direct phone calls, taking accurate messages for executive staff with a sense of urgency and awareness of each executive's priorities
  • Manage and maintain calendars for multiple Vice Presidents, schedule meetings, and prepare comprehensive meeting agendas
  • Schedule and coordinate on-site and off-site meetings and conferences, communicating effectively with internal and external stakeholders globally while demonstrating expert knowledge of company policies and conference room equipment
  • Manage conference room requests, execute conflict resolution, and maintain advanced proficiency with all conference room technology
  • Assist with event planning and coordination, including scheduling facility tours, coordinating R&D engagement events and town halls
  • Create presentations, memos, and spreadsheets using Microsoft Office applications as assigned
  • Maintain and update departmental organizational charts quarterly and as needed
  • Arrange travel and accommodations for executives, preparing detailed itineraries and ensuring all required travel documentation is obtained before submission to the travel coordinator
  • Process invoices and expense reports for Vice Presidents in accordance with company policies
  • Create, process, track, and maintain purchase orders according to established procedures
  • Route and follow-up on all documents requiring executive signatures, including project requests, invoices, and memos
  • Execute shipping requests via UPS and FedEx
  • Log attendance information and maintain attendance records
  • Process and monitor office supply orders for assigned departments
  • Provide cross-coverage for team members to ensure operational continuity

Qualifications

  • College or university degree
  • Minimum 5 years of professional experience as an Executive Assistant or Administrative Assistant, with demonstrated experience supporting Vice President and Senior Vice President levels
  • Prior experience of 3–6 months in an R&D and/or testing environment (preferred)
  • Demonstrated ability to multitask effectively in fast-paced, high-volume environments
  • Excellent communication, organizational, and follow-up skills
  • Strong interpersonal abilities with capacity to engage with external companies and all management levels
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Proven ability to handle confidential and sensitive information with discretion
  • Experience with compliance policies and procedures
  • Demonstrated capacity to remain calm under pressure and maintain professionalism in demanding situations
