Diptyque Paris seeks Sales Administrator for 6-month contract role managing international orders, inventory, and compliance for luxury fragrances.
Role & Responsibilities
- Process and enter sales orders for corporate, department store, travel retail, and Japan subsidiary accounts from initiation through delivery
- Verify pricing accuracy and manage available inventory allocations, including product lot freshness controls
- Transmit order confirmations to clients and coordinate preparation workflows with warehouse operations
- Track shipments, customer transport logistics, and billing reconciliation
- Conduct regular reporting to the sales and commercial teams
- Manage order disputes and discrepancies
- Monitor and maintain regulatory registrations for fragrances and cosmetics across assigned territories
- Coordinate new product registration requirements with marketing and suppliers
- Track and manage client payment collections, chase outstanding invoices, and process reconciliation with accounting
- Maintain stock controls and monitor allocated products across channels
Qualifications
- Minimum 3 years of experience in sales administration within a commercial and international department
- Background in luxury goods or premium brands highly preferred
- Fluent in English (written and oral)
- Proficiency with ERP systems and Microsoft Office suite
- Mastery of incoterms and inventory management protocols (LIFO and FIFO)
- Team orientation with strong interpersonal and communication skills
- Highly organized, responsive, autonomous, and adaptable mindset

3 years minimum in sales administration within a commercial and international department, preferably in the luxury sector
Education
Qualification in commercial and/or administrative studies
