Parfums Christian Dior seeks Office Assistant in Bucharest, Romania for Dior and Guerlain operations across RO/HU markets.
Role & Responsibilities
- Organize office activities and assist managers in optimizing procedures
- Sort and distribute correspondence in a timely manner
- Record and update data, ensuring accuracy and correctness of information
- Schedule and plan meetings and appointments
- Monitor office supplies needs and manage resources
- Resolve office-related malfunctions and respond to requests
- Maintain contact with other departments to ensure compliance with established policies
- Ensure reception services and manage courier operations
- Manage correspondence collection and distribution
- Assist in creation, record-keeping, and registration of contracts
- Collaborate with management to organize annual meetings and conferences
- Assist management in implementing communications, procedures, and company policies
- Record employee timesheets monthly and maintain contact with accounting firm
- Organize occupational health and safety sessions and annual occupational medicine checks
- Keep records of employee leaves and handle internal communications
- Coordinate and implement employee benefit plans
- Make reservations and monitor business travel
- Draft reports and prepare organized data as needed
- Register consumption tickets for all departments
- Fill out claim forms and keep records of complaints
- Receive and track products at office and third-party warehouses
- Register suppliers in SAP
- Assist with storage activities and destruction of obsolete references
- Organize archiving activities and document records
- Receive and register expenses, cash advances, and settlements for accounting
Qualifications
- Higher education graduate, preferably with specialization in economics or accounting
- Minimum 5 years of experience in customer service, administration, or office organization (or higher education degree in relevant field)
- Proficiency in Microsoft Office (Excel, Word)
- Knowledge of back-office IT systems, preferably SAP
- Medium level English proficiency in written and spoken form
- Excellent organizational and time management skills
- Analytical skills and problem-solving abilities
- Excellent written and verbal communication skills

Beginner to entry-level; candidates should have either a higher education degree in economics or accounting, or a minimum of 5 years of experience in customer service, administration, or office activities management.
