Executive Assistant to General Manager at Chanel Shanghai. Support supply chain and sustainability leadership in this full-time executive support role.

Role & Responsibilities

  • Provide comprehensive executive support to the General Manager, including calendar management, meeting coordination, agenda preparation and action item follow-up
  • Maintain awareness of upcoming commitments, strategic priorities, key deadlines and business updates on behalf of the GM
  • Arrange and coordinate all travel logistics, accommodation, transportation and expense management for the General Manager
  • Support executive leadership meetings, town halls, workshops, business reviews and departmental events, including materials coordination and on-site logistics
  • Manage administrative processes including purchase requisitions, vendor coordination, contract routing and budget tracking across the Supply Chain & Sustainability division
  • Facilitate cross-functional communication and collaboration with Finance, Human Resources, Legal, Technology, Administration and other business units
  • Coordinate onboarding, training registration, team engagement activities and people-related administrative matters for the department
  • Handle sensitive information with professionalism, sound judgment and absolute discretion
  • Proactively manage ad hoc assignments, ensuring all deadlines are met and follow-through is systematically managed

Qualifications

  • Bachelor's degree or higher
  • Minimum 5+ years of experience supporting senior executives in multinational or matrix organizations
  • Advanced proficiency in Microsoft Office suite (Outlook, Word, PowerPoint, Excel)
  • Fluent in written and verbal English and Mandarin Chinese
  • Exceptional organizational and time management capabilities
  • Superior interpersonal and stakeholder management skills
  • Demonstrated ability to exercise discretion and handle confidential information professionally
