Chanel seeks a Boutique Administration Coordinator in Fukuoka to manage boutique administration, reporting and regional liaison.

Role & Responsibilities

  • Provide comprehensive back-office support to the Fukuoka boutique, including daily administrative tasks, calendar management and correspondence.
  • Prepare and maintain accurate operational reports, sales reconciliations and inventory documentation for submission to regional teams.
  • Coordinate boutique-level HR administration: staff scheduling, timekeeping records, onboarding paperwork and liaison with HR/Payroll.
  • Manage vendor and service-provider relationships for boutique needs (supplies, repairs, local services) and process purchase requests and invoices.
  • Act as key liaison between the boutique and regional/corporate offices to ensure compliance with brand policies and timely resolution of queries.
  • Support clienteling operations with administrative follow-through (appointment confirmations, client file maintenance, mailing and event logistics).
  • Assist with boutique events and merchandising resets by coordinating logistics, guest lists and ancillary administrative tasks.
  • Safeguard confidential information and ensure meticulous accuracy in all documentation and reporting.

Qualifications

  • Proven experience in retail or boutique administration, ideally within the luxury sector.
  • Excellent organisational skills with a demonstrated ability to prioritise competing tasks and meet tight deadlines.
  • Strong interpersonal skills and professional discretion when handling confidential client and commercial information.
  • Business-level Japanese with strong written and verbal communication; business-level English preferred.
