Chanel seeks an Administrative Assistant for its Arts, Culture & Heritage Office in London to support cultural projects, events and archives.
Role & Responsibilities
- Provide high-level administrative support to the Arts, Culture & Heritage Office, including calendar management, meeting coordination and correspondence.
- Serve as primary liaison with internal stakeholders and external cultural partners (museums, curators, artists, vendors) to schedule meetings and coordinate collaborative projects.
- Prepare, format and proof executive documents, presentations and briefing materials; maintain version control and confidentiality of sensitive files.
- Coordinate logistics for events, exhibitions, visits and travel arrangements, including venue bookings, itineraries, accommodation and on-site support.
- Manage expense reports, purchase orders and basic budget tracking in line with company policy.
- Maintain and update archives, databases and digital asset repositories; ensure accurate metadata and filing for research and loan requests.
- Support project tracking and reporting, follow up on action items and escalate issues to project leads as needed.
Qualifications
- 2+ years of administrative experience, preferably within luxury retail, cultural institutions, museums or high-profile corporate environments.
- Demonstrable discretion handling confidential materials and high-level stakeholder communications.
- Excellent written and verbal communication skills in English; polished presentation and proofreading ability.
- Strong organisational skills with the ability to prioritise competing demands and manage multiple concurrent projects.
- Familiarity or demonstrable interest in arts, heritage, archives or cultural programming is highly desirable.

Experience
At least two years of relevant administrative experience, ideally supporting senior stakeholders or project teams within luxury brands, cultural organisations or museums.
Education
Bachelor’s degree in arts management, humanities, history or equivalent professional experience; vocational or administrative qualifications accepted with relevant experience.
