Role & Responsibilities

  • Provide daily frontline workplace support, including reception cover, visitor management and telephone enquiries with a polished, service-led manner.
  • Coordinate facilities and building services requests: log, prioritise and follow up maintenance work orders with internal teams and external suppliers.
  • Manage mailroom and courier operations, incoming and outgoing shipments, and maintain accurate logs and documentation.
  • Oversee office supplies, consumables and small equipment inventory; place orders and manage stock levels to agreed budgets.
  • Prepare and set up meeting rooms and event spaces (AV, catering liaison, furniture layout), ensuring branded presentation standards are maintained.
  • Support space-booking and desk-hotel systems, and assist with small office moves and workstation setup.
  • Maintain health, safety and security records for the workplace; assist with visitor badges, contractor permits and incident reporting.
  • Produce routine reports and maintain accurate records of vendors, service-level agreements and facilities-related expenditure.

Qualifications

  • Minimum of 1 year of experience in facilities, workplace services, office administration or a customer-facing operational role.
  • Strong verbal and written communication with excellent customer-service etiquette.
  • Demonstrable organisational skills, attention to detail and the ability to prioritise competing requests.
  • Ability to liaise professionally with internal stakeholders and third-party suppliers.
  • Willingness to perform light physical tasks (e.g., moving boxes or minor furniture) and to work flexibly during ad hoc events.
