Role & Responsibilities

  • Manage research samples across design categories, including rentals and purchases; build and maintain vendor relationships, arrange UK and international shipping, track movements and ensure timely returns.
  • Oversee day-to-day budget control for the Design Studio and serve as T&E budget manager — approving travel, tracking team expenditures and partnering with Finance on year-round budget monitoring.
  • Coordinate archive loans from external vendors (Italy), handling shipping logistics, documentation, in‑house tracking and return schedules to mitigate rental overcharges.
  • Provide daily operational oversight of the studio floor, liaising with WPS, IT and other internal teams to manage product movement, furniture and equipment setup, access and technical support.
  • Own new-starter onboarding logistics: act as main contact for building access, IT equipment, welcome materials, orientation and structured studio induction.
  • Support freelancer lifecycle activities including job postings, onboarding, contract extensions, tax assessments and weekly timesheet approvals.
  • Provide direct operational support to senior leadership (SVP), including meeting and workspace setup, logistics coordination and maintaining smooth workflows for executive activities.
  • Collaborate with Production for show and lookbook preparation: hire furniture and crew, organise catering, manage backstage lists, oversee show-day activities and dresser coordination during styling week.
  • Manage daily space setups for Creative Director and design activities, optimise studio bookings and support digital operations to increase operational efficiency.
  • Perform all related administrative duties and travel domestically or internationally as required by business needs.

Qualifications

  • Proven professional experience in a design or creative studio environment.
  • Demonstrable expertise in proactive budget monitoring and day-to-day cost control within a fast-paced creative setting.
  • Strong organisational skills with the capacity to prioritise multiple concurrent tasks under tight deadlines.
  • Excellent stakeholder management, vendor negotiation and logistical coordination abilities.
  • Degree in marketing, fashion, design or a related creative discipline.
