Role & Responsibilities

  • Support cataloguing activities including labelling, sorting, numbering, and preparing items for archive database entry
  • Upload new records, imagery, and metadata to the database, ensuring accuracy, consistency, and completeness of information
  • Update existing records to reflect item movement, condition changes, or new research findings
  • Coordinate digitisation of archive materials, working with Studio and Post-Production teams to schedule photography and ensure quality standards
  • Prepare items for imaging including condition checking, documentation, and handling arrangements
  • Ensure digital files are correctly named, stored, and linked to corresponding database records
  • Conduct research to support internal requests, projects, and presentations, gathering imagery, documentation, and historical information
  • Assist in compiling visual references and materials for meetings, product development, communications, and heritage initiatives
  • Respond to archive enquiries in a timely and professional manner
  • Prepare archive assets for meetings, fittings, shoots, and appointments, ensuring high presentation standards
  • Coordinate delivery, setup, and collection of materials with safe handling throughout
  • Proactively document current business activity for future archival use, capturing materials, imagery, and contextual information
  • Provide administrative support to archive operations including statistics, data tracking, and record-keeping
  • Produce regular reports on archive activity including loans, acquisitions, and usage
  • Collaborate on large-scale heritage and archive projects across the organisation
  • Work closely with the Archive team and wider business to ensure archive processes run efficiently and consistently

Qualifications

  • Proficiency with digital tools, databases, and Microsoft Office or equivalent
  • Experience in coordination, administrative, or collections-based roles within a fast-paced environment
  • Experience working with physical collections, archives, libraries, museums, or product heritage assets
  • Familiarity with cataloguing or collections management systems
  • Knowledge of the luxury fashion industry
  • Genuine interest in fashion, design, and brand heritage
