Role & Responsibilities

• Oversee back-office operations including data entry into designated software systems (Beanstore, Gemini CRM, SAP, Excel)
• Manage product receiving at stores, ensuring accuracy between physical items received and corresponding invoices
• Address discrepancies or issues with incorrectly received products in collaboration with Commercial Company Administration
• Supervise store stock levels, storage management, and coordinate all inventory-related activities including cycle counts, quarterly inventories, and annual audits
• Conduct after-sales service tasks—managing repairs, liaising with repair centers, organizing shipments, and maintaining communication regarding repair status
• Handle tagging processes associated with all items from receipt to repricing
• Serve as the point of contact for IT/system suppliers regarding hardware/software malfunctions or damages
• Coordinate with suppliers regarding store maintenance concerns and provide timely updates to the Store Manager
• Manage purchase orders in Ivalua system
• Assist sales staff throughout the entire sales process from client reception to finalizing payments and packaging
• Understand VAT processes and procedures relevant to sales operations
• Assist with e-commerce-related tasks including shipping coordination, product labeling, and packaging
• Oversee administrative functions for marketing events and exhibitions, ensuring alignment with company standards
• Serve as primary point of contact between exhibition management and the MEAI regional team
• Functionally supervise the administrative team in store, coordinating workflow and administrative supervision
• Coordinate implementation of new administrative processes and serve as referent for inventories, adjustments, and mini stock counts
• Act as referent for store maintenance issues and operational matters
• Manage store supplier relationships and coordination
• Oversee store scheduling under management supervision
• Manage back-office stock allocation and allocation procedures

Qualifications

• Minimum 3 years' experience in a comparable position at Bulgari or another luxury retail company
• In-depth knowledge of the luxury business sector
• Proficient in luxury retail operations and procedures
• Strong proficiency with CRM techniques and tools utilized in luxury retail
• Expertise with store operation applications including Beanstore, Gemini CRM, SAP, and Excel
• Strong customer orientation with emphasis on exceptional service delivery
• Demonstrated flexibility and adaptability to evolving business needs

Minimum 3 years in a comparable sales administrator or retail operations role, preferably at a luxury goods company such as Bulgari or another high-end jewelry or watches retailer. Demonstrated proficiency in luxury retail operations, inventory management, and customer-facing support roles is essential.
