Role & Responsibilities

  • Manage and supervise store operations administration, including quarterly and annual inventory cycles; notify team of inventory dates and investigate stock discrepancies
  • Coordinate back-office data entry using internal systems (Gemini, CRM, SAP) and manage product receiving, verification against invoices, and reconciliation of goods receipt discrepancies
  • Organize after-sales service activities including repair intake, coordination with repair centres, and item shipment logistics
  • Execute weekly price tagging and reprising activities across all inventory items, coordinating with regional logistics centre on tag requests
  • Manage vendor relationships and coordinate store maintenance scheduling (licences, renovations, night work permits); prepare maintenance reports and track completion deadlines
  • Administer employee-related paperwork including roster planning, leave management, petty cash claims, uniform ordering and issuance, and employee engagement activities
  • Coordinate vendor and contractor services including security personnel, pest control, CCTV and safe maintenance (Chubb), printer support, and facility cleaning
  • Support customer inquiries via phone regarding products, pricing, repairs, exchanges, and transfers
  • Provide administrative support for in-store customer events, including catering coordination and logistics
  • Prepare monthly and quarterly reports for Store Manager covering inventory management, packaging consumption, sales performance, leave planning, and CRM gifting activities

Qualifications

  • Fluent Vietnamese and English (spoken and written)
  • Minimum 5 years of relevant experience in retail operations or store administration
  • Meticulous attention to detail and ability to work effectively in fast-paced retail environments
  • Demonstrable knowledge of luxury business practices and retail standards
  • Proficiency with store operation software systems (Gemini, CRM, SAP)
  • Proficiency with Microsoft Windows and standard office applications
  • Understanding of CRM techniques and tools
