Role & Responsibilities
- Provide comprehensive secretarial and administrative support, including database updates, coordination with the Business Unit, and assistance with departmental initiatives
- Handle and distribute confidential materials with highest discretion, ensuring controlled access, accurate filing, and appropriate treatment of sensitive information
- Coordinate all activities and communications with the Business Unit and other departments, serving as a liaison between the Managing Director and organizational functions
- Liaise with LVMH relevant departments to ensure smooth data and information flow across the global organization
- Manage executive diaries with high autonomy and strategic priority-setting, coordinating with other departments to schedule routine and on-demand meetings
- Arrange meetings by creating agenda proposals, preparing presentations, booking conference facilities, and supervising organizational logistics
- Organize international business travel in coordination with colleagues, Group functions, and external agencies, including flight selection, hotel bookings, and schedule finalization
- Produce, distribute, and maintain files of correspondence, documents, presentations, and records with meticulous attention to accuracy and confidentiality
- Manage telephone and email inquiries with professionalism and discretion, ensuring appropriate follow-up and escalation
- Process travel requests and expense reports through SAP Concur and related systems, ensuring compliance with travel and expense policies
- Provide organizational and administrative support to the Creative Director, including agenda management and expense oversight
- Coordinate the organization of Product & Collection Meetings, ensuring effective planning, preparation, and smooth execution
Qualifications
- Bachelor's degree in Business Administration, Economics, Management, Languages, Communication, or related field
- Minimum 3-5 years of experience as an Executive Assistant or in a similar role
- Preferably supporting senior executives in an international and dynamic environment
- Fluency in Italian and English, written and spoken
- Advanced proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Word, Teams, SharePoint)
- Experience with travel management and expense systems (e.g., SAP Concur)
- High level of discretion, trustworthiness, and ability to handle confidential information

3-5 years of experience as an Executive Assistant or in a similar administrative support role, preferably supporting senior executives within an international, dynamic, and cross-functional environment. Experience managing executive schedules, international travel arrangements, and confidential correspondence in a luxury or corporate setting is highly valued.
