Bottega Veneta Administrative Executive in Singapore – provide executive support to the General Manager and oversee office operations for Kering's SEAO region.
Role & Responsibilities
- Manage and coordinate the General Manager's calendar, including meetings, appointments and multi-stakeholder scheduling
- Arrange domestic and international business travel, coordinating flights, accommodation, transportation and detailed itineraries
- Prepare and compile business reports, presentations and supporting materials as required by leadership
- Serve as primary point of contact for all office-related vendors and service providers
- Process, track and ensure timely payment of vendor invoices received via multiple channels
- Oversee maintenance and servicing of office equipment, including copiers, shredders, water filters and related facilities
- Manage office security systems, alarm access rights, access codes, access cards and keys with accurate record-keeping
- Coordinate access requirements for new joiners, leavers and contractors
- Administer corporate mobile phone accounts, including invoice verification, billing queries and Esker submissions
- Liaise with Singtel on billing discrepancies, service issues and contract renewals
- Manage procurement and inventory of stationery, printer cartridges, pantry supplies and office necessities
- Collect, sort and distribute incoming mail, magazines and correspondence between Bottega Veneta and other Kering entities
- Arrange local and international courier services as required
- Serve as designated Fire Warden, coordinate regular fire drills and manage fire safety documentation
- Set up and manage CorpPass access for designated employees to government portals
- Coordinate asset configuration and allocation for new employees and contractors
- Undertake ad-hoc administrative, office management and operational assignments as directed
Qualifications
- Minimum 3 years of relevant experience in office administration or similar administrative support role
- Proactive, self-starter mentality with strong resourcefulness and ability to work independently
- Meticulous attention to detail with excellent organizational skills
- Ability to multitask in a fast-paced environment and meet tight deadlines
- Strong vendor and stakeholder management capabilities
- Proficiency with office management systems and administrative tools
- Knowledge of office safety and compliance requirements
Skills
Experience
Minimum 3 years of professional experience in office administration, executive support, or a comparable administrative operations role in a corporate or luxury business environment. Experience supporting senior leadership and managing multi-faceted office operations is highly valued.
Education
Secondary education (O-levels or equivalent) required; tertiary qualification in business administration, management or related field preferred.
