Bottega Veneta seeks an Administration Officer in Hong Kong to manage office services, procurement, facilities and budgets.
Role & Responsibilities
- Provide full-spectrum office administration services to ensure smooth daily operations.
- Manage procurement and inventory control of office supplies and perform invoice verification.
- Maintain and administer core office systems including telephone and security platforms.
- Supervise the Office Assistant to guarantee office cleanliness, stationery supply and timely document delivery within the Group and to external destinations.
- Control and manage company-issued mobile devices assigned to employees.
- Handle insurance matters and policy renewals for stores and related locations.
- Coordinate maintenance and repairs for office facilities and equipment.
- Monitor, prepare and report budgets and forecasts for office-related expenditures.
- Review service contracts and liaise with external suppliers and service providers.
- Support ad-hoc projects and assigned cross-functional initiatives.
Qualifications
- Minimum 3–5 years of hands-on office administration experience.
- Proven interpersonal and communication skills, both written and verbal.
- Self-motivated with strong problem-solving capabilities and sound judgment.
- Excellent organisational skills with the ability to prioritise and manage multiple tasks under pressure.
- Strong time management and multi-tasking proficiency.
- Excellent written proficiency in English and Chinese.
- Proficient in MS Office applications (Word, Excel and PowerPoint).
Skills
Experience
A minimum of 3–5 years of practical experience in office administration, ideally within luxury retail, corporate services or a comparable professional environment; experience supervising junior staff and managing procurement, facilities and budgets is expected.
Education
Diploma or Bachelor's degree in Business Administration, Facilities Management, Hospitality or a related discipline preferred; equivalent professional experience will be considered.
