Role & Responsibilities

  • Manage day-to-day HR administration including employment contracts, personnel files, leave and absence records, and HR documentation in compliance with company procedures.
  • Operate and maintain the HRIS, ensuring employee data accuracy, timely updates and regular reconciliation with payroll and benefits providers.
  • Coordinate onboarding and offboarding processes: prepare welcome packs, run orientation logistics, liaise with IT and facilities, and ensure smooth exits.
  • Support payroll and benefits administration by preparing inputs, verifying attendance and liaising with external payroll vendors and social insurance offices.
  • Ensure compliance with Japanese labour law and statutory reporting requirements; prepare documentation for audits and interactions with public authorities.
  • Provide operational support to HR Business Partners and managers on employee relations, contract changes, promotions and internal transfers.
  • Generate regular HR reports and ad hoc analytics (headcount, attrition, leave) to inform local and regional HR decisions.
  • Handle confidential employee enquiries with professionalism and discretion, escalating complex issues to senior HR or legal as needed.

Qualifications

  • Minimum 2 years' experience in HR administration, preferably within a multinational or luxury retail environment.
  • Practical experience with HRIS platforms such as Workday or SAP SuccessFactors and familiarity with ATS workflows.
  • Solid proficiency in Microsoft Excel for reporting, data validation and reconciliation tasks.
  • Working knowledge of Japanese labour law, social insurance and payroll processes.
  • Business-level Japanese and professional-level English verbal and written communication skills.
  • Strong organisational skills, attention to detail, and demonstrated ability to manage competing deadlines while maintaining confidentiality.

Experience

Education

Bachelor's degree in Human Resources, Business Administration, or a related discipline, or equivalent professional experience.
