Role & Responsibilities
- Assist the Event Manager in organizing, planning, and overseeing all event details, including managing timelines, room configurations, BEO orders, audiovisual requirements, décor, and setup alignment with guest expectations
- Communicate with external vendors (event planners, florists, AV technicians, etc.) to ensure timely service delivery and compliance with hotel service standards
- Work closely with clients to understand event goals and provide tailored solutions that align with the hotel's brand while delivering exceptional customer service throughout the planning process
- Design event layouts and create visually appealing setups in collaboration with vendors to execute the client's vision
- Supervise event setup, execution, and breakdown, remaining present on-site to manage workflow, resolve issues in real-time, and ensure guest satisfaction
- Coordinate with hotel departments (Front Office, Food & Beverage, Housekeeping, Engineering, Guest Services) to meet all guest needs and maintain seamless event execution
- Oversee all event logistics, including setups, guest arrangements, transportation, and both on-site and off-site requirements
- Manage event-related correspondence, bookings, reports, group room blocks, and accurate record-keeping; respond to client inquiries within 24 hours and ensure all documentation (BEOs, rooming lists, deposits, final billing) is collected and current
Qualifications
- Bachelor's degree in Event Management, Hospitality, Marketing, or related field (preferred)
- Minimum 3 years of professional experience in event planning, coordination, and execution
- Excellent organizational skills, attention to detail, and ability to multitask effectively
- Strong communication and interpersonal skills with demonstrated commitment to guest satisfaction
- Proficiency in Microsoft Office, event management software, and diagramming applications
- Completed TIPS (alcohol service) and food handlers training as required by the State of Utah
- Familiarity with food and beverage service and hotel operations
- Ability to stand, walk, bend, stoop, and lift for sustained periods in various climates, including extreme heat, wind, sand, and desert conditions

Experience
Minimum 3 years of professional experience in event planning, coordination, and execution in a hospitality or luxury resort setting preferred. Demonstrated track record of successfully managing complex events from conception through post-event follow-up, with strong vendor management and client communication experience.
Education
Bachelor's degree in Event Management, Hospitality, Marketing, or a related field is preferred. Completion of TIPS (alcohol service) and food handlers training as required by the State of Utah is mandatory.
