The Events Trainee supports the planning, coordination and execution of events at Aman Venice, providing administrative and operational support from initial enquiry through on-site delivery and post-event follow-up. The role starts in February 2027.
Role & Responsibilities
- Support the planning and execution of weddings, corporate meetings, social gatherings, VIP functions and special occasions.
- Assist with event enquiries, proposal preparation and timely follow-up with clients, wedding planners, agencies and event partners.
- Prepare and maintain event documentation and records, including contracts, BEOs, rooming lists, function sheets, client information, deposits, payment schedules and other event-related administrative materials.
- Assist with site inspections and client meetings, helping the Events Manager gather requirements and accurately record and follow up on details.
- Document and communicate event timelines, set-ups, audiovisual requirements, menus, dietary requirements and special requests to relevant departments through internal briefings and function sheets.
- Collaborate with Food & Beverage, Culinary, Front Office, Housekeeping, Engineering and other departments to support event preparation and execution.
- Help coordinate external suppliers, including access requirements, deliveries, set-up and dismantling arrangements, with the Events Manager and relevant operational departments.
- Assist with on-site event operations by helping the Events Manager monitor timelines and operational requirements and respond promptly to requests or changes from clients, guests and team members.
- Support post-event follow-up, including final documentation, outstanding client or supplier matters and guest feedback, while ensuring compliance with company standards, health and safety regulations and operational procedures.
