  • Prepare VIP wardrobes and product selections for key appearances, premieres, awards ceremonies and cultural moments.
  • Work with the wider communications team to deliver VIP opportunities seamlessly and to brand standards.
  • Track coverage and social media placements when required.
  • Coordinate press and VIP sample movements between London headquarters, international markets and external PR agencies; communicate sample availability, shipment schedules and return deadlines to regional teams and agencies.
  • Serve as the day-to-day operational sample-management contact for PR agencies across the UK, US, Dubai and Europe.
  • Organise international shipments for seasonal press days, editorial appointments, VIP dressing opportunities and brand events.
  • Support sample requirements for regional activations across Japan, China and wider APAC, working with local market teams.

  • Schedule shipments well in advance and ensure appropriate documentation, customs requirements and delivery tracking.
  • Record global sample movements accurately and coordinate them to prevent conflicting requests or unnecessary duplication.
  • Provide operational and administrative support across the communications calendar.
  • Assist with sample preparation, packing, dispatch and on-site coordination for fashion shows, presentations, press days, trunk shows and brand events.
  • Support preparation of guest lists, invitations, event materials and communications documentation as required.
  • Assist with event logistics, supplier coordination and general preparation to ensure the smooth delivery of key brand moments.
  • Maintain exceptionally high standards of sample organisation, care and accountability.
  • Record all sample movements accurately in relevant inventory and tracking systems; conduct regular inventory checks and reconciliations to maintain accurate records and identify discrepancies.
  • Maintain clear procedures for sample loans, packing, dispatch, returns and condition checks; flag missing, delayed, damaged or unavailable samples and resolve issues promptly.
  • Keep samples in optimal condition, arranging timely dry cleaning and tailoring when required.
  • Contribute to the weekly Global Coverage Report and ensure its timely submission.
