A. Lange & Söhne seeks Boutique Operations Administrator in Tokyo for boutique support, inventory management, and CRM administration.
Role & Responsibilities
- Manage sales operations and administrative functions for all retail locations, including client and prospect data input, sales registration, compliance audits, and payment verification
- Execute inventory control and stock management including product reception, shipment tracking, consignment oversight, and defective watch reporting across boutiques
- Coordinate stock allocation and distribution, prioritizing back orders, managing limited-edition timepiece allocations, and scheduling sample watch and novelty displays
- Support client-facing sales teams with back-office tasks during selling ceremonies and conduct sales activities when client advisors are engaged with clients
- Administer store vendor management, petty cash, travel and entertainment expenses, and supply ordering in collaboration with boutique management
- Serve as key system administrator for the BTQ IT platform and reporting tools, providing technical support and training to Ginza and other boutique locations as needed
- Oversee after-sales service processes including customer inquiries, repair tracking, and delivery coordination
- Monitor weekly and monthly sales forecasts, maintain clientele records, support store meetings, and generate performance reports
- Manage event client lists, ensure product availability for campaigns and launches, coordinate customer gifts, and deliver post-event reporting on leads and sales
- Occasional travel to Tokyo office and other boutique locations (Nagoya, Osaka) for stock transfers, system training, and operational support
Qualifications
- Diploma or degree in Business Administration, Retail Management, or related field
- 1–2 years of experience in a similar operational or administrative role, preferably in luxury retail or boutique environments
- Prior sales experience is advantageous
- Proficiency in inventory management systems, SAP, and customer relationship management (CRM) software
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and retail software platforms
- Strong attention to detail and accuracy in data entry and inventory reconciliation
- Exceptional organizational and multitasking capabilities
- Excellent problem-solving and analytical skills
- Outstanding communication and interpersonal abilities
Skills
Experience
1–2 years of professional experience in retail operations, boutique administration, or a comparable role preferably within the luxury sector. Prior exposure to sales environments and high-end customer service is valued.
Education
Diploma or degree in Business Administration, Retail Management, or a closely related discipline.
